Community Room

ROOM IS CONSIDERED RESERVED WHEN FORM IS SIGNED BY LIBRARY MANAGEMENT.
The community room will be available on a first-come, first-serve basis. To insure that
the room is available, reservations can be made. Political or religious meetings will be
allowed as long as there is no indication of library promotion of any candidate or
philosophy.
There is no charge for use of the room during open library hours. Use of the room
outside regular library hours depends upon available staffing. A non-refundable
supervisory charge of $15 per hour, pro-rated to the half hour will be charged.
There is also a charge of $15 per hour, pro-rated to the half hour, for set-up and take-
down of technology equipment, for those requesting it.
Established groups may submit one form to cover a calendar year.
Applications must be submitted by an adult who is personally responsible for the
meeting and adherence to the rules.
A 24-hour notice of cancellation is requested, if at all possible.
The group using the room will be responsible for setting up tables and
chairs, and for cleaning up afterwards.
Any damage to the room or equipment will result in a charge for the cost of cleaning,
replacement and/or repair. Failure to pay damages will result in the group being
permanently banned from using the community room.
No alcohol, smoking, illegal substances or other illegal activity will be permitted.
The library director or designated assistant will take reservations. Problems and
questions will be referred to the board of trustees.
Study Rooms
Study rooms are availableto serve the needs of the library and the Winnebago
community. Study rooms are available in two-hour intervals on a first-come, first-serve
basis at no charge to the Winnebago Community. Extra time allotted for study room
sessions will be accommodated if there are no requests for use of the room within the
next half hour. Those individuals or groups who have been allotted additional time
in study rooms beyond the two-hour limit will be asked to vacate if all study rooms
are filled and a new party wishes to utilize a room.
Limits of Use
Each study room has a capacity of five people. The individual who books the room is
expected to remain in the room at all times. Should the individual need to leave
the roomfor any reason, it is expected they return in no more than 30 minutes.
There is no guarantee of a silent atmosphere inside each study room
due to their proximityto one another; however, users of each study room are asked
to be respectful ofother patrons in adjacent study rooms and of the
Library Conduct Policy regarding noise.
Two study rooms on the second floor of the library will be made available for
advanced reservation. The individual making the reservation
must be 18 years or older.
The library does not provide equipment and/or storage.
Use of the library’s study room does not constitute the Winnebago Public Library’s
endorsement of viewpoints expressed by the room’s occupants. Advertisements
or announcements implying such endorsements are not permitted.
Reserving a Study Room
Study rooms are available for use during library open hours only.
Rooms must be vacated at library closing, or at the end of the scheduled session,
whichever comes first. Requests for advance reservation of the two study rooms
are accepted no more thanfour weeks in advance of the requested date.
Cancellations
No person or group may assign its reservation to another person or group.
Individuals are asked to inform service desk staff if a study room
is no longer needed so that it can be reassigned to an available status. Patrons who
have not arrived within 10 minutesof the scheduled start time will be considered
no-shows and the reservation will be removed. Three consecutive sessions of
no-shows will be suspended from use of the study rooms for one month.
Procedures
Upon arrival, indivduals requesting the use of a study room must check in
at the library’s service desk. Availability will be reviewed at this time and
reservations will be taken if all study rooms are in use. Study room users are asked
to notify library staff when the session is finished.
The room will be inspected for condition.
Individuals and groups may not rearrange library furniture. Signs and decorations
may not be taped or stapled to walls or doors. Any use of glue, crayons, paint,
markers, tape, glitter, wax or other craft supplies is expted to be cleaned up
at the end of the session. Study rooms are to be left as they are found. Waste must
be placed in appropriate garbage.
Damages and Liability
The library is not responsible for possessions left in a study room.
Any individual using the study room will be held responsible for willful
or accidental damage to the library building, grounds, collections or furniture
caused by the individual or group in accordance with this policy.
Individuals who book a room understand that they take full
responsibility for the actions of themselves and anyone in their group and
will be held accountable for violations of this policy or the Library Conduct Policy.
